Receptionist/Secretary

Under the general supervision and direction of the Administration & Finance Manager, this position provides comprehensive secretarial and office support. Responsibilities include reception and telephone operations, skilled word processing, scheduling meetings and activities, and assisting staff with program and project implementation. This position also operates office equipment and performs related administrative duties as assigned.

Essential Duties and Responsibilities

  • Greet visitors and answer incoming telephone calls; determine the nature of inquiries and direct callers to appropriate staff or resources
  • Provide information and assist the public in accessing district services
  • Prepare and distribute form letters and correspondence following established guidelines and staff direction
  • Coordinate and schedule meetings, tours, travel, and conferences for staff and directors
  • Maintain conference room schedules, calendars, and appointments
  • Assist with financial operations, including invoice processing, bill payment, payroll support, and related duties
  • Provide backup support for District Office Secretary responsibilities

Required Knowledge, Skills, and Abilities

Knowledge of:

  • The district’s organizational structure, mission, priorities, and goals
  • Office practices, procedures, and administrative guidelines, including support of Board of Directors operations
  • Administrative, secretarial, and clerical support functions across various programs

Ability to:

  • Operate a variety of office equipment
  • Manage a multi-line telephone system
  • Communicate effectively, both verbally and in writing, with staff, board members, and the public
  • Organize, file, and retrieve records using established filing systems
  • Proofread documents and identify errors in completed work
  • Develop and maintain spreadsheets and databases

Skills and Qualifications:

  • Typing proficiency of at least 65 net words per minute
  • Strong proficiency in Microsoft Office Suite
  • Experience working with Windows-based computer systems

Education and Experience

  • Minimum of five (5) years of clerical or administrative experience required
  • Valid driver’s license required
  • Experience with QuickBooks Online preferred

Physical Requirements

  • Ability to lift and carry up to 10 pounds

Position Details

  • Location: Lower Platte South NRD, 3125 Portia St., Lincoln, NE
  • Status: Full-time, non-exempt (eligible for overtime or compensatory time)
  • Salary Range: $40,000 – $60,000, commensurate with experience
